Privacy Policy
Last updated: 23 October 2026
This policy explains what information SyncX Pro Inc., operating MilkX Pro (“MilkX Pro”, “we”, “us”), collects when you use the MilkX Pro website (milkxpro.com), the MilkX Pro collector app and the MilkX Client app (together, the “Service”), how we use it, and the choices you have.
1. Who we are
MilkX Pro is a product of SyncX Pro Inc., a federal Canadian corporation with its registered office in Brampton, Ontario, Canada. SyncX Pro Inc. is responsible for your information under this policy. MilkX Pro is a dairy-collection ledger: milk collectors record what they buy from and sell to their clients, and clients (farmers and buyers) can see their own entries, balances and statements. Contact us at support@milkxpro.com.
2. Information we collect
Information you give us
- Account details — your name, username, email address and password (stored only as a one-way hash). A phone number and business name are optional.
- Access requests and contact messages — what you type into the “Request access” and “Contact us” forms on the website.
Information created by using the Service
- Ledger records — milk entries (date, shift, quantity, fat/SNF, amount), payments, advances, purchases, rates and statements. In the collector app these are entered by the collector or their team; in the Client app you see the records your collector has entered against your account.
- Links between accounts — which collector a client account is linked to, and when that link started or ended.
- Push notification token — a device token issued by Apple or Google so we can send you notifications (for example when a new entry or statement is ready). It identifies the app installation, not you personally.
- Technical logs — our servers keep standard request logs (such as IP address, time and the request made) for security and troubleshooting.
We do not collect your location, contacts, photos, or advertising identifiers, and the apps contain no advertising or third-party analytics SDKs.
3. How we use information
- To run the Service: sign you in, keep the ledger, calculate balances and generate statements.
- To send service emails — one-time codes when you sign up or change your email, password-reset links, and statement-ready notices.
- To send push notifications you have allowed on your device. You can turn these off at any time in your device settings.
- To keep the Service secure, prevent abuse and fix problems.
- To respond when you contact us.
We do not sell your information and we do not use it for advertising.
4. Who can see your information
- Your collector. If you are a client, the collector you are linked to (and their team members) can see the entries, payments and statements for your account — this is the purpose of the Service. Ending the link in the app stops new entries from reaching your app; the collector keeps their own business records.
- Your clients. If you are a collector, each linked client can see only their own account.
- Service providers that process data for us: Google Firebase (database, hosting of our API, push notifications), Amazon Web Services (email delivery) and Vercel (website hosting). They act on our instructions and do not use your data for their own purposes.
- Legal reasons — if required by law or to protect the rights and safety of users and the Service.
5. Where data is stored
Because SyncX Pro Inc. is in Canada and our service providers operate in other countries, your information may be processed outside your country, including in India, Canada and the United States.
Account and ledger data is stored in Google Cloud (Firestore) in the Mumbai (asia-south1) region. Our API runs on Google Cloud Functions and service emails are sent through Amazon Web Services. Data is encrypted in transit (HTTPS) and at rest by these providers.
6. How long we keep it
- Account details are kept while your account exists.
- Ledger records are the collector's business records and are kept by the collector for as long as they use the Service.
- One-time codes and reset links expire automatically. Push tokens are removed when you sign out or delete your account.
- Server logs are kept for a limited period for security purposes.
7. Deleting your account
You can delete your account at any time from inside the app: Settings → Delete account. This permanently removes your login, profile, push tokens and account links. A collector's deletion also removes the collector's entire business dataset and their team members' accounts. If you cannot access the app, see milkxpro.com/delete-account for how to request deletion by email.
Note for clients: the entries a collector has recorded against your account are part of the collector's own books and remain with the collector after you delete your account. They are no longer linked to a login.
8. Your choices and rights
- Update your name, email and password in Settings.
- Turn push notifications on or off in your device settings.
- Ask us to access, correct or delete your personal data by emailing support@milkxpro.com.
9. Children
The Service is for businesses and adults and is not directed at children under 16. We do not knowingly collect information from children.
10. Changes
We will post any changes to this policy on this page and update the date at the top.
